Summary View

The Summary view provides an overview of all assets with active commitments for the current year. You can see total commitments, how much has already been called, what remains outstanding, and what is expected to be called within the current period.

Copia_CapitalCalls

  1. Total Commitment: The total amount of capital that an investor has pledged to contribute to a fund when the fund manager issues capital calls.
  2. Total Called: This represents the capital requested from investors by the fund manager to make investments.
  3. Total Remaining: The difference between the total commitment and the total amount called. It represents the remaining capital that the fund manager has yet to request.
  4. Called in X Year: The amount of capital that was requested specifically during the year X. Provides a snapshot of the capital calls made within a specific time frame
  5. Potential in X Year: The potential capital that could be called in the current year. The value is made up of "scheduled" capital calls (an estimate as to when a capital call might arrive based on historical information).

Schedule View

Switching to the Schedule view shows capital call activity broken out quarter by quarter, including historical calls and expected future activity. The view defaults to the current year. Click directly on the year to reveal the dropdown menu, or use the arrow controls to navigate forward and backward between years.

There are two states of capital calls:

  1. Scheduled: A capital call that hasn't happened yet but we anticipate it will (or the capital has been called but is not yet funded.)  A scheduled call is not a transaction yet. Scheduled calls are represented by an outline with an  alarm clock icon next to the amount.
  2. Funded. A capital call has been funded, and the money has been transferred. A funded capital call is a transaction. A transaction is created when the call has been Marked As Paid. Funded calls are a solid color on the schedule and are represented by a checkmark icon.

Clicking into either of these types of calls on the schedule allows to update the amount, window start/end and Mark As Paid or Remove Call.

Adding Capital Calls & Commitments

From the Capital Calls lens, you can record historical (funded) calls or schedule future (unfunded) calls manually. Use the + Add button to get started creating either type.

Capital call data can also be sourced from investor portals and uploaded documents. When a capital call notice is detected, Copia processes the information and automatically updates the schedule.

This opens the Select Holding panel.

Holdings are organized into two sections:

  • Callable — Holdings that already have a defined capital commitment and are ready to schedule calls.

  • Not Set as Callable — Holdings that do not yet have commitment details configured.

If the holding appears under Callable, simply select it to proceed.

If the holding appears under Not Set as Callable, select it and confirm Make Callable. You will be prompted to provide capital commitment details before scheduling a call.

Once a callable holding is selected, you can continue to define the call amount and window.

Schedule Future Call

After selecting a callable holding, the Schedule Future Call panel opens.

Enter the Amount (USD) or input a Percentage. If a percentage is entered, the system will calculate the corresponding dollar amount.

Next, define the Window Start by selecting the Quarter and Year. Then set the Window End to establish the expected call period.

Once all required fields are complete, click Save to schedule the call. The future call will appear in the selected quarter and update Potential totals.

Schedule Historical Call

After selecting a callable holding and choosing to add a historic call, the Add Historic Call panel opens.

A historical call must be associated with a transaction. You can:

  • Select an existing eligible transaction under Existing Transactions, or

  • Click Create Capital Transaction to create a new one. A transaction requires an amount and date with optional notes.

Transactions that are already linked to another call or fall outside the commitment window will appear under Unavailable Transactions and cannot be selected.

Once a transaction is selected, click Save. The historic call will be recorded and reflected in Total Called for the applicable period.

Viewing Holding Details

Clicking on the holding name from either the Summary or Schedule opens Holding Details panel.

Copia_CapitalCalls_Details

At the top, you’ll see the asset name along with the associated entity, custodian, and manager.
The panel includes two tabs:

Details – this tab displays the capital commitment summary for the holding, including:

  • Total Capital Committed (USD)

  • Capital Called to Date ($ and %)

  • Capital Remaining to be Called ($ and %)

  • Calls Scheduled
  • Total Calls Scheduled ($ and %)
  • If the commitment has been fully called, you can mark it as Capital Commitment Completed. Marking a capital commitment as complete will result in the commitment no longer appearing in future years.
