Adding Assets/Holdings
Assets and Holdings are the DNA of the portfolio.
What are Assets and Holdings in Copia?
Assets store the basic information about an investment, such as the type, currency, tags, documents and domiciled country. An asset requires a holding to be useful. Assets can have many holdings spanning managers, entities and accounts.
Holdings are where assets come to life. Holdings represent the relationships between managers, trigger whether capital calls occur, and make the connection between accounts and the day-to-day data flow. They are also where transactions and market observations are recorded.
Ways to Add Assets/Holdings:
There are several ways to create assets in Copia, depending on how data is being entered or connected.
- Manually through the Admin Portal (Back Office)
Allows assets to be created with the option to immediately add one or more holdings as part of the same workflow. - Manually in Copia Wealth (Front Office)
Allows assets to be created without a holding. Holdings can be added later if needed. - Bulk add via spreadsheet importer (Back Office)
Enables multiple assets to be created at once and is typically used for migrations, large onboarding events, or historical data imports. - Automatically through Institutional Connection (Front Office)
Assets can be generated automatically from connected institutional data.
Adding Asset & Holding Manually (Back Office)
Go to the back office and navigate to the assets page, and select "add asset"

Next, fill in some basic details about the asset. At a minimum, you'll need to select an asset class and give your asset a name. It's good practice to use short names, but you can change these at any time. If the asset is publicly traded, entering its ticker symbol enables the system to automatically generate daily Market Observations. When ready, click Publish Changes.

Let's now give this Asset a holding.
In order to create a holding, simply navigate to the holdings tab under an Asset.
Best Practices
- Remember that transactions and market values are stored in holdings
- Holdings are often used to differentiate ownership (for example a real estate deal where several entities have contributed to the deal)
- Holdings can also be used to distinguish GP, LP or Fees on an asset, or to represent different stakes in an asset
From there, click the holding tab where you will find a list of holding already associated with the asset. In order to add a new holding simply click the '+Add Holding' button in the top right hand corner.
Finally, fill in details for the holding. At minimum, you must have a holding name, account, manager and inception date. You can also configure whether this asset has capital calls (and input the capital commitment.)
You can now go to the holding details and update transactions, enter market observations, manage capital calls view metrics for this asset. The holdings for the associated account will also show up in the account view, and the manager view.
Adding Asset Manually (Front Office)
In the Copia Wealth front office, navigate to the Assets section, and click '+ Add Asset' in the top right hand corner.

In the side panel enter the required fields:

Asset Name: give the asset a unique name

Asset Class: select an asset class from the dropdown.

Entity: select an entity from existing entities.

Account: select an entity first to see available accounts.

Domiciled Country: the country where the asset is held.

Reporting Currency: the currency that the asset is held in.
Optional field:

Market Value: The current value of the asset. In some cases this will be used to produce a market observation for the current value of the asset if there isn't a better method of calculating its value. You may add a market value later in Market Observations.

When finished, hit save and your asset will be created.
You'll find your new asset under it's Asset Class (or in All Assets.) Viewing the asset will allow you to edit details. You can also update Market Observation and Transactions manually under Activity on the asset details page.
